How a Policy Limits Search Works

What to send, what happens next, and what you receive.

Step 1: Send the case details

Use the request form or email request@tracepolicylimits.com. Give us the defendant's full name and the date of loss at a minimum. Add the accident location, a plate or VIN, the property address for premises claims, any policy number or carrier name, and the accident report. For commercial matters, include the business name and a USDOT or MC number if you have one. Add your firm name and a case reference so the report and invoice match your file.

We confirm that we have what we need, or we ask for what is missing. Missing details are the most common reason a search takes longer or comes back partial.

Step 2: We research the coverage

We work from the identifiers you provide and the information sources available to us, and we operate within applicable federal and state law. We look for the liability policies that could respond to the claim and the policy limit shown for each. When a case could fit more than one type of search, we tell you what we recommend before we start.

Step 3: You receive the written report

The report is written for the attorney or paralegal who will read it. It arrives by email and includes:

  • The policies we located for the defendant and the policy limit shown for each
  • The carrier and any policy details we could identify
  • Notes on anything we could not confirm
  • Suggested next steps, where relevant

What to do with the result

Use the result to decide whether to take or keep a case, how to frame a demand, and where else to look for coverage. If your state gives claimants a right to request limits from the insurer, send that request as well: the carrier's written answer is the one you can rely on in a demand or in court. Our guide to pre-suit policy limits disclosure by state explains how those rules differ, and our guide to finding the at-fault driver's policy limits walks through the full sequence.

What a search can and cannot confirm

A policy limits search is research. It is not a certified copy of the policy and not a statement from the insurer. Unless a report says otherwise, it does not confirm that a policy was in force on the date of loss, that a particular vehicle or property was covered, or that no other coverage exists. We say plainly when a result is partial or unconfirmed.

Turnaround and rush options

Turnaround depends on the type of search and how complete your information is. Commercial and unknown-carrier searches can take longer than a personal auto search. If a statute of limitations or a demand deadline is close, tell us when you submit the request and ask for rush handling. Our office is closed on weekends and holidays.

Data handling

We treat requests as confidential and use submitted information only to perform the service, operate our business and meet legal obligations. Please send case details through the request form rather than by email where you can, and do not send medical records or other sensitive client documents unless we ask for them. See the Privacy Policy.
